Use of artificial intelligence

This document transparently explains which artificial intelligence systems we use, for what purposes and with what human oversight, in line with Regulation (EU) 2024/1689 (AI Act) and the GDPR.

1. Who operates these systems

Aurea uses artificial intelligence systems developed by third parties: we act as a deployer, not as a provider of the models.

2. Where we use artificial intelligence

Voice request transcription: if you choose to describe your request by voice, an automated system converts the audio into text.

Request data extraction and clarifying questions: an automated system fills in the form fields and suggests questions to complete the request.

News curation: we find and summarise industry news from public sources, always citing the source.

Editorial commentary "Our view": the text published in the Journal is our own editorial elaboration produced with AI support; it is not the original article, which remains available through the source link.

Supplier research and territory mapping: we build draft supplier profiles from public sources.

Proposal narrative drafts: we generate supporting text for proposals, always reviewed by our team.

New uses may be introduced in the future: they will be added to this document and to our internal register before being activated.

3. Risk classification

The uses listed above fall within the limited or minimal risk categories of the AI Act. We do not use high-risk systems, biometric or emotion recognition, social scoring, or any prohibited practice.

Our obligations are mainly about transparency: letting you know when you interact with an AI system and clearly labelling AI-generated or AI-assisted content.

4. Human oversight

No decision concerning you is taken solely by automated means: every request, proposal and published content is reviewed by a member of our team.

The data extracted from your request is shown to you and remains editable before submission.

5. Limitations and possible errors

Artificial intelligence systems can produce inaccurate, incomplete or outdated results. Transcripts, summaries and profiles are drafts until verified by our team.

Pricing, availability and contractual information becomes binding only when confirmed in writing by a member of Aurea.

6. Data processed and providers

Data sent to AI systems is limited to what is necessary: request audio and transcript, contact details and travel preferences, and public third-party content for curation and supplier research.

We rely on third-party language model and search providers, which process data as processors on our behalf and do not use it to train general models.

7. Internal register and training

We keep an internal register of the AI systems in use, with purpose, provider, data processed, risk level, internal owner and oversight measures, updated at each review.

Team members receive operating instructions on the correct use of AI and on the mandatory human review before any publication or client communication.

8. Updates

Version 1.0, last updated on 2026-09-10. Any new AI system or material change will be reported here with a new version.
